How to Initialize a Reference Check for Candidates

Gathering information from referees for candidates is easier by using the Reference Check feature. The system will send emails to the specified referees in the candidate's application form. 

Reference Check is a kind of Special Project. To learn how to create a Reference Check Special Project, please read Creating and Managing Special Projects. If you do not have access to this feature, please contact your system administrator.

To initialize a Reference Check for candidates, please follow the steps below:

1. Go to Jobs.

     

2. Click on the Job's name.

   

3. In the job applicants list page,  put a tick before the name of the candidate/s.

4. On the right-hand side, in the Actions Menu, click on the " Initialize Reference Check". 

   

5. A pop-up box will appear showing the names of the candidates the reference check will be initiated. You will also see Notes such as:

  •    No valid referees. Will not be initialized   --  This might be because the referee's email table is empty. Reference check will not proceed.
  •    Valid. This application will be initialized to have Reference Check. -- There are valid entries in the referee's email table. Reference check will proceed

6. Choose an RSVP date.

7. Choose a Form to Fill. This will be the form that the referees will fill out. Usually, the form is named "Reference Check Form".

8. Click "Continue" button. An email will be sent to referees requesting them to fill out the reference form.

To check the status of the referees' response, please follow the steps below:

1. Go to Job.

   

2. Click on the Job's name.

   

3. On the job applicants list page, you will see columns with dots. 

  • The red dot means reference check was initialized and waiting for the receivers to answer.
  • Grey dot means reference check was initialized and all receivers answered.
  • Brown means reference check was initialized and at least one of the receivers answered.
  • The clear/white dot means reference check was not initialized.

   

4. To view the details of the reference check, click on the 3 bars before the candidate's name.

5. Locate the Special Projects tab.

6. Under the Special Projects tab, locate the Reference Check tab and click on it.

7. The name of the referees will appear. Click on the Referees name to view their answers.
